Legal
Terms and conditions.
Last updated: 29 May 2026
These terms apply to Proofline Proof Samples, Proof Packs and Showroom Packs unless a signed agreement, invoice or order confirmation says otherwise.
Plain English: the free Proof Sample comes first. A paid engagement starts only after we agree scope and pricing in writing. We build and prepare proof assets; we do not guarantee leads, rankings, revenue or closed sales.
About these terms
Proofline is a UK-first productised service for independent kitchen showrooms, kitchen design/install firms, bespoke kitchen companies and adjacent bespoke joinery/cabinetmaker firms. We turn finished projects into showroom website, portfolio, Google Business, proposal, review and reporting assets.
If your invoice or order confirmation names a specific legal supplier, your contract is with that named supplier. If no separate supplier is named, references to "Proofline", "we", "us" and "our" mean the Proofline service operated through this website.
Browsing the website or requesting a free Proof Sample does not create a paid engagement. A paid engagement starts only when we accept your project and confirm the scope, price and payment details in writing.
Proof Samples and paid packs
A free Proof Sample is a small manual sample built from one finished kitchen you choose. It is designed to show what your phone photos and notes could become before you buy a paid pack.
- A free Proof Sample is free unless we agree otherwise in writing.
- A custom paid diagnostic may be offered only where we agree it is useful before a larger scope.
- It is a practical sales and marketing review, not legal, tax, architectural, photography, advertising or SEO advice.
- We may decline, delay or stop providing free Proof Samples at any time.
- Preview and audit comments are based on a snapshot of publicly visible material and may become outdated.
Proof Packs and Showroom Packs
The core paid services are Proof Packs and Showroom Packs. Unless agreed otherwise, a pack may include project copy, photo cleanup, proposal assets, Google Business assets, social captions, designer notes, video clips or a recent-projects web block:
- Editor-led photo cleanup in Photoshop.
- Showroom site and portfolio proof-layer improvements.
- Project pages, case studies and gallery update copy.
- Google Business Profile update drafts.
- Proposal, follow-up and sales-enablement assets.
- Social captions and project repurposing assets.
- Review prompts and monthly reporting rows.
- A privacy check for obvious homeowner or property identifiers.
- Approval passes as agreed in the written scope.
We do not manage ad campaigns, appointment setting, ranking guarantees, PR, legal clearance or publication unless separately agreed in writing.
Your responsibilities
You are responsible for providing accurate, lawful and usable inputs. This includes:
- Website access, photos, notes, brands, materials, project facts and context for finished projects where needed.
- Permission to use the photos, project information and any third-party material you send us.
- Homeowner, client, photographer, fitter, designer, agency or supplier permissions where needed.
- Checking that final drafts are factually accurate before using, sending or publishing them.
- Deciding where and when assets are used.
- Making sure your own website, Google Business Profile, advertising, customer communications and publications comply with applicable law and platform rules.
If inputs are missing, unusable, inaccurate or delayed, delivery timelines pause. If the material is not suitable for the agreed scope, we may stop work, ask for better inputs, change the scope or quote separately for additional work.
Payment and delivery
The public pack prices are shown on the pricing page unless we agree another scope or price in writing. Custom work is priced separately before work starts.
- The free Proof Sample is free unless we agree otherwise in writing.
- A custom paid diagnostic may be priced separately where we agree it is useful.
- Setup fees and monthly production fees are due as stated on the invoice or written order confirmation.
- Timelines depend on usable inputs, site access, approval speed and agreed scope.
- Revision and approval terms are handled under the written scope for the engagement.
Payment covers setup, review, production and workflow time. We may pause or decline production if payment has not cleared or if the project inputs are missing, unusable or outside the agreed scope.
Any comparison to a photographer’s or studio’s pricing (for example £400–£900 a kitchen) or to time saved is illustrative, based on typical UK rates, and is not a quote for any specific supplier. Your actual saving depends on the pack and the quote you would otherwise have paid.
Approval and outcomes
You review project facts, privacy details and final wording before assets are published or handed over.
Every paid pack includes one round of revisions. If you are still not happy with the finished pack, you can ask for a refund of the pack fee within 30 days of delivery — no forms, no fuss. The free Proof Sample carries no charge. After 30 days, or once the delivered files have been published or used commercially, the pack counts as accepted and the refund window closes. Founding-rate packs are covered by the same 30-day window.
Proofline does not guarantee sales, leads, rankings, traffic, response rates, revenue, conversion rate, quote acceptance or customer behaviour.
Rights, files and publication
After full payment, you may use the delivered project assets for your own showroom marketing, proposals, website, sales follow-up, Google Business Profile, review requests and social channels.
We retain ownership of our underlying templates, systems, prompts, processes, layouts, methods, know-how and non-client-specific assets. Drafts, rejected concepts and internal working files are not included unless agreed in writing.
We will not publish your project, logo, testimonial or homeowner material as our own case study without permission. We may use anonymised learnings to improve the service.
AI and image editing
We may use AI-assisted tools for image cleanup, copy drafting, formatting, document production and quality control. Drafts and edited outputs are human-reviewed before delivery, but you remain responsible for approving factual accuracy and final use.
Photo cleanup is intended to improve presentation: crop, light, colour, distraction reduction and format. It should not be used to misrepresent a kitchen, materials, installation quality, project scope or finished result. If a change would materially alter the truth of the project, you must tell us and must not use that output as proof of the real installation.
Confidentiality and privacy
We treat non-public project material as confidential and use it only to provide the service, manage the client relationship, comply with law, protect our rights or as otherwise agreed.
You should remove unnecessary homeowner details before sending material where possible. If photos contain addresses, family photos, faces, paperwork or other identifying details, tell us what must be removed or avoided.
Liability
To the fullest extent permitted by law, Proofline is not liable for indirect, consequential or special losses, loss of profit, loss of revenue, loss of opportunity, loss of goodwill, platform penalties, ranking changes, ad performance, sales outcomes or decisions made by your prospects.
Our total liability for a paid engagement is limited to the amount you paid us for that engagement in the previous three months. Nothing in these terms excludes liability that cannot legally be excluded, including liability for fraud or fraudulent misrepresentation.
Law and changes
Unless your invoice or order confirmation says otherwise, these terms are governed by the laws of England and Wales and the courts of England and Wales have jurisdiction.
We may update these terms as the pilot service, pricing, workflow or supplier details change. The version posted on this page applies to website use. The version agreed in writing for a paid project applies to that project.
